BAT improves employee empowerment by centralising its global HR IT systems

BAT wanted to standardise their global human resources IT system. The decision was taken to set an objective of implementing SAP HR globally to replace the multiple systems already supporting the global HR function across 118 countries by the end of 2009. The objective was to harmonise the overall HR process, and avoid the cost and complication in managing disparate legacy systems throughout varied markets.

Project Cain

Project Cain was the UK implementation project which automated the HR administrative process for BAT's 2,000 employees across its three UK sites. Cain was one of the 1 HR implementations for BAT & the project aimed to deliver an Employee Self Service (ESS) portal to allow employees to maintain personal details, request annual leave and submit personal change requests for manager approval. Manager Self Service (MSS) enabled managers to view and track their employees via the MSS Team Calendar. This together with the SAP HR back-end has allowed the HR department to streamline the administrative tasks.

Due to the complexity of the solution, BAT needed expertise from an implementation partner. BAT and specialist SAP Consultancy Bluefin Solutions had an existing trusted partnership, and were consequently engaged as the implementation partner for this project.

Bluefin consultants provided expertise in functional HR, ESS/MSS Portal and data migration. Project Cain also used the Bluefin Off Site Service (BOSS) team, who were responsible for the majority of the development work throughout the realisation stage. BOSS resources are charged by the hour and provide a cost-effective and flexible approach to project delivery.

"Bluefin's specialist SAP skills, coupled with their open and proactive approach made them a good fit for this project. Their consultants had the knowledge to take what had been delivered as part of BAT's Global Template & utilise SAP HR standard functionality where possible to deliver the solution BAT desired based on the output of the Design Workshops." With the new SAP HR system in place, BAT has seen important business benefits, particularly the greater usability and employee empowerment. In addition, the new HR solution allows for future add-ons and upgrades to be easily implemented.

The relationship between BAT and Bluefin was a critical success factor in delivering Project Cain. A collaborative approach was taken with both teams working hand in hand and making suggestions for continual improvement.

"The professionalism, resourcefulness and dedication of the Bluefin team contributed enormously to the success of the project."
"As a specialist consultancy, Bluefin provided the right skills and the right attitude to meet the challenge of such a complex and demanding project. Bluefin helped us meet our mandate to move to SAP and standardise HR." Mick Bolton, Cain Project Manager, BAT
